Compliance Protocol // REF.ADA.GOV

ADA SIGNAGE IS FEDERAL LAW — NOT A SUGGESTION

Litigation Risk Alert

Non-compliant ADA signage exposes commercial property owners and tenants to lawsuits. Under the Unruh Civil Rights Act, statutory damages start at $4,000 per violation in California. Serial ADA plaintiffs actively target non-compliant properties in LA and OC.

Standard Requirements
The ADA requires specific signage at every permanent space: rooms, restrooms, exits, and stairwells. Mandates cover mounting height, character contrast, Grade 2 Braille specifications, and pictogram dimensions to ensure universal access.
Operational Reality
Most commercial buildings in Southern California are not fully compliant. The cost of reactive remediation — after receiving a demand letter — is significantly higher than proactive compliance from the initial build or renovation.

" The question isn't whether your building needs ADA signs. It does.
The question is whether they're correct. "

A COMPLETE WAYFINDING &
ADA SIGN PROGRAM

We design and install two integrated systems that most buildings need simultaneously: a wayfinding system that helps people navigate your facility, and an ADA-compliant sign system that meets federal and California code requirements. Here's what each includes:

FUNCTIONAL NAVIGATION

Wayfinding System

  • Directional Signage High-clarity arrows and text guiding visitors to elevators, restrooms, and exits.
  • Directory Boards Main entrance directories listing tenants, floors, and specific departments.
  • Floor Identification Stairwell floor numbers and elevator indicators for rapid vertical orientation.
  • Facility Mapping Printed or illuminated maps positioned at key decision points.
  • Exterior Navigation Parking lot directionals, entrance ID, and designated drop-off zone signs.
REGULATORY COMPLIANCE

ADA-COMPLIANT SIGN SYSTEM

  • Room Identification Tactile characters and Grade 2 Braille for every office and mechanical space.
  • Restroom Requirements Compliant pictograms and Braille signs for all restroom entrance points.
  • Exit & Stairwell Life-Safety Tactile exit identification as required by California Fire and Building Codes.
  • Elevator Accessibility Tactile floor numbers and Braille call buttons for accessible vertical transit.
  • Global Accessibility Symbols ISA identification for accessible routes, specific parking, and primary entrances.

WHAT ADA ACTUALLY REQUIRES
— THE KEY SPECIFICATIONS

ADA signage requirements are highly specific. Getting them wrong — even slightly — creates non-compliance. Here are the primary technical requirements we engineer into every ADA sign we produce:

/01

Mounting Location

Permanent room identification signs must be mounted on the latch side of the door — not on the door itself. Centerline of sign must be between 48" and 60" above the finished floor. Clear floor space of 18" x 18" must be maintained in front of the sign.

/02

Braille Requirements

Grade 2 contracted Braille is required on all ADA room identification signs. Braille must be positioned below the corresponding text. Braille dot specifications: base diameter 0.059"±0.005", height 0.025"±0.005", center-to-center spacing 0.090"±0.005".

/03

Tactile Characters

Characters must be raised 1/32" minimum from the sign surface. Sans-serif or simple serif typefaces only — no italic, oblique, script, or decorative typefaces. Character height: 5/8" minimum to 2" maximum for uppercase letters. Stroke width: 10–30% of character height.

/04

Finish & Contrast

Sign characters and background must have a non-glare finish. Characters must contrast with their background — light characters on dark background, or dark characters on light background. No specific contrast ratio is mandated, but high contrast is required. Eggshell, matte, or satin finishes are ADA-compliant; high-gloss is not.

/05

Pictograms

Where pictograms are used (restrooms, accessibility symbols), the pictogram field must be a minimum 6" in height. The pictogram must be accompanied by the equivalent verbal description in raised and Braille characters below the pictogram field.

/06

California Additions

California Building Code (CBC) adds requirements beyond federal ADA standards — including specific requirements for toilet room signs, exit signs, and elevator signs. Non-compliance with CBC can result in penalties under California law in addition to federal ADA liability.

DESIGN_PROTOCOL // SITE_SURVEY

C-45 Licensed Sign Contractor

Northwest LK holds a California C-45 Licensed Sign Contractor certification — the state credential required for permitted sign installation. For ADA and wayfinding programs, this means: we pull the required permits, we perform the installations ourselves without subcontracting, and every sign we install is documented and compliant. In a category where legal liability is the primary concern, working with a licensed contractor is not optional — it's essential. Many sign companies operating in Southern California do not hold a C-45 license.

We Know the Code — All of It

ADA signage sits at the intersection of federal law (ADA Standards for Accessible Design), California state law (California Building Code), and local municipal codes. We stay current on all three. Our team knows the specific requirements for room ID signs, restroom signs, elevator signs, exit signs, and wayfinding — and we know where the federal standard and California standard diverge. We don't guess. We spec to code.

Design That Serves People First

A wayfinding system that's technically compliant but confusing to navigate has failed its purpose. We design wayfinding programs from the visitor's perspective first — mapping the paths people actually take, identifying the decision points where they need information, and designing signs that answer the right question at the right moment. Compliance is the floor, not the ceiling.

Integrated with Your Brand

ADA compliance and brand identity are not mutually exclusive. We design ADA-compliant sign systems that integrate with your building's interior design, color palette, and brand standards. The result is a sign program that is legally correct, visually cohesive, and representative of your organization's identity — not a patchwork of generic compliance signs bolted to the wall.

WAYFINDING IS A SYSTEM, NOT A COLLECTION OF SIGNS

Most buildings with wayfinding problems don't have a sign problem — they have a system problem. Signs are placed reactively, in response to complaints, without a coherent logic for how information flows through the building. The result is visitor confusion, staff time wasted giving directions, and a facility that feels disorganized.

We approach wayfinding as a system design problem. Here's our methodology:

REF: UNIT_01

Path Mapping

We walk the facility as a first-time visitor and map every decision point: where do people enter? Where do they need to choose a direction? Where do they get lost? This becomes the foundation of the sign placement plan.

REF: UNIT_02

Message Hierarchy

Not all destinations need equal prominence. We establish a message hierarchy: primary destinations (main entrance, elevators, restrooms) get the largest, most prominent signs. Secondary destinations (specific suites, conference rooms) get secondary signs. Tertiary information (suite numbers) gets local ID signs.

REF: UNIT_03

Sign Schedule

We produce a complete sign schedule: a spreadsheet listing every sign in the system, its message content, its location, its type, its size, and its ADA compliance requirements. This becomes the master document for the entire project — design, fabrication, and installation all reference it.

REF: UNIT_04

Design & Brand Integration

Sign designs are developed to meet all code requirements while integrating with your building's interior design and brand identity. We present designs in the context of your actual space — so you see how the finished system looks before fabrication begins.

REF: UNIT_05

Permit & Installation

Required permits are obtained. Signs are fabricated and installed in sequence — typically starting with primary directional signs, then room identification, then ADA-specific signage. We produce a completion report documenting every sign installed, its location, and its compliance specifications.

SEC_01

Medical & Healthcare

The highest-stakes wayfinding environment. Patients are anxious, often in pain, and frequently unfamiliar with the facility. Clear, ADA-compliant wayfinding — from parking to check-in to treatment rooms — directly affects patient outcomes and satisfaction scores. We design wayfinding programs for medical offices, clinics, hospitals, and multi-building healthcare campuses.

SEC_02

Corporate Offices

Multi-floor, multi-tenant, and multi-building office environments need wayfinding systems that serve daily employees and first-time visitors equally. Conference room identification, floor directories, and lobby directionals are the core of most corporate wayfinding programs.

SEC_03

Education & Universities

Campuses are complex navigational environments — multiple buildings, multiple departments, multiple entrances, multiple constituencies. We design campus wayfinding programs that serve students, faculty, visitors, and emergency responders. ADA compliance across all buildings is both a federal requirement and a California mandate.

SEC_04

Government & Public Facilities

Government buildings, courthouses, libraries, and public service facilities have the most comprehensive ADA requirements — and the most scrutiny. We design and install ADA-compliant sign programs for public facilities that meet all federal and California code requirements and withstand inspection.

SEC_05

Hotels & Hospitality

Hotel wayfinding serves guests who are unfamiliar with the property, often arriving after long travel, and navigating a complex environment with multiple floors, restaurants, meeting rooms, and amenities. ADA compliance is required throughout. We design wayfinding programs that guide guests seamlessly while reinforcing the brand experience.

SEC_06

Retail Centers

Shopping centers and mixed-use developments need wayfinding for parking structures, directory boards listing tenants, and interior mall navigation. ADA compliance requirements apply throughout — including accessible parking identification, accessible route signs, and compliant restroom signage.

SEC_07

Religious & Nonprofit

Churches, synagogues, mosques, and nonprofit facilities open to the public are required to comply with ADA under Title III. Many religious organizations are unaware of their ADA signage obligations. We provide ADA assessments and compliant sign programs for religious and nonprofit facilities of all sizes.

FROM FACILITY ASSESSMENT TO
FULL INSTALLATION

ADA and wayfinding sign programs are more complex than single-sign projects. They involve facility assessment, sign scheduling, design across multiple sign types, permits, and phased installation. Here's how we manage it:

LOG: INTAKE_01 STEP 01 // STATION_A

ADA Assessment & Consultation

We conduct a facility walkthrough to assess your current signage against ADA and CBC requirements. We identify deficiencies, estimate the scope of work, and advise on priority areas — so you can make informed decisions about phasing and budget.

LOG: SURVEY_02 STEP 02 // STATION_B

Sign Schedule Development

We produce a complete sign schedule documenting every sign required — message content, location, type, size, and compliance specifications. This is the master document for your entire sign program. You review and approve it before any design work begins.

LOG: DESIGN_03 STEP 03 // STATION_C

Design & Brand Integration

Signs are designed to meet all code requirements while integrating with your interior design and brand standards. We present designs in your actual space context. Unlimited revisions until the system is right.

LOG: PERMIT_04 STEP 04 // STATION_D

Permit Management

We prepare and submit all required permits — building permits for permanent installation, electrical permits where required for illuminated signs. As a C-45 licensed contractor, we are legally authorized to pull permits across all LA County and OC municipalities.

LOG: FABRIC_05 STEP 05 // STATION_E

Fabrication

Signs are fabricated at our Irvine facility to exact ADA specifications — correct Braille, correct tactile characters, correct mounting hardware, correct finishes. Each sign is verified against the sign schedule before leaving our facility.

LOG: INSTALL_06 STEP 06 // FINAL_HEX

Installation & Documentation

Signs are installed in sequence by our C-45 licensed team. Mounting heights, locations, and clearances are verified against ADA standards at installation. We produce a completion report documenting every installed sign — giving you a compliance record for your facility.

ADA & WAYFINDING FAQs

ADA sign program costs depend on the size of your facility and the number of signs required. General ranges for Southern California: · Single-tenant small office (ADA room ID + restroom signs): $1,500–$4,000 · Mid-size medical clinic or professional office (complete ADA program): $4,000–$12,000 · Multi-floor office building or campus (full ADA + wayfinding program): $12,000–$50,000+ Cost per sign ranges from $80–$250 for standard ADA room ID signs, depending on material and finish. We provide a complete itemized quote after our free facility assessment.

Under ADA Title III, all places of public accommodation and commercial facilities are required to provide ADA-compliant signage for permanent spaces. This includes virtually every commercial building: offices, retail stores, medical facilities, restaurants, hotels, schools, and more. Existing buildings are required to remove barriers to accessibility where “readily achievable” — and ADA signage is consistently considered readily achievable. New construction and alterations must comply fully.

First: don’t panic, but don’t ignore it. Contact us immediately for a facility assessment. We will document your current signage compliance status, identify what’s deficient, and produce a remediation plan. Demonstrating proactive remediation steps — and moving quickly — is important in responding to ADA demand letters. Important: we are sign contractors, not lawyers. For legal advice regarding an ADA claim, consult an attorney. We provide the signage compliance side of the response.

ADA signs are a specific category of signage required by federal and California law for permanent spaces — room identification signs with Braille and tactile characters, restroom signs, exit signs, and accessibility symbols. They have precise technical specifications. Wayfinding signs are directional and informational signs that help people navigate a facility — arrows, directories, floor maps, and destination signs. They are not governed by ADA technical specifications (unless they identify permanent spaces), but they must not create barriers to accessibility. Most facilities need both, and we design them as an integrated system.

Yes — ADA remediation is one of our most common service requests. Common issues we fix include: incorrect Braille specifications, wrong mounting heights or locations, non-compliant finishes or contrast, missing tactile characters, and signs mounted on doors rather than on the latch side. We assess your existing signs, identify what can be remediated vs. replaced, and provide a phased plan that prioritizes the highest-risk areas first.
